Overview

 

We are seeking a highly organised and detail-orientated Bid Writer/Coordinator to support the bid team in delivering high-quality, compliant tender submissions for data centre and ICT projects across Ireland, UK and Europe. You will take a client-focused approach to coordinating bid documentation, managing templates and trackers, and integrating inputs from internal teams and SMEs. You will work with SMEs to strengthen and clearly articulate our data centre solutions, and you will help keep submissions accurate, well-presented and submitted on time.

Responsibilities

  • Review expressions of interest (EOI), prequalification (PQQ), invitation to tender (ITT), request for proposal (RFP) and supporting documents to understand the client’s objectives, stated outcomes, scope, constraints, and compliance standards.
  • Develop and maintain the responsibility matrix and response plan. Track all mandatory requirements, submission rules and deadlines.
  • Lead the coordination of bid inputs across the data centre division and the wider business. Engage SMEs to gather evidence, validate solutions and agree win themes aligned to the client’s priorities.
  • Take ownership of the writing process. Produce clear, client-focused responses that address the question, reflect the evaluation criteria, use accurate supporting evidence and align with our win strategy.
  • Facilitate storyboarding and content planning sessions with SMEs to optimise technical responses.
  • Manage clarifications with the SMEs, Directors, and Bid Manager. Log questions, coordinate draft responses with SMEs and confirm final responses meet the client’s requirements.
  • Maintain and apply bid standards for structure, style and presentation. Control document versions and manage review cycles to meet internal governance and submission requirements.
  • Maintain and update core bid collateral, including CVs, organisational charts, project references, case studies and standard responses.
  • Work with business and technical leaders to develop capability statements, project sheets and other marketing materials that present our services clearly and consistently. Align collateral to priority regions across Europe.
  • Convert written bid solutions into polished, accurate and impactful presentation materials for data centre teams to use in client presentations and bid interviews. Coordinate inputs, speaker notes and version control to support consistent messaging.
  • Compile final submission files and complete portal uploads. Confirm file naming, formats, permissions and submission confirmations.
  • Complete post-submission activities, including feedback capture, lessons learned, bid library updates and secure archiving of bid records.

Qualifications

 

  • Third level qualification in Communications, English, Journalism, Business, Engineering, Construction Management.
  • 3 - 5 years of bid writing and coordination within construction, engineering or professional services.
  • APMP Foundation Certification (desirable)
  • Strong organisational skills with the ability to manage multiple deadlines, track deliverables and maintain bid workflows.
  • High standard of document formatting, compilation and version control skills.
  • Proven ability to coordinate inputs from multiple stakeholders, including technical teams and supply chain partners.
  • Excellent proficiency in Microsoft Office Suite
  • Good understanding of SharePoint, Microsoft Teams and bid management or document control tools is advantageous.
